Administering Email

System and security professionals must design the email scheme to guarantee that messages are delivered correctly within the company and over the Internet. This system may choose to provide this service through using a proxy, forwarding, gateway, and manual services, but not mandatory, nor limited. 

Virus Preventions

Every email message sent via the organization’s server will be scanned for viruses, worms, and other executables that might compromise the network’s security. Emails that are infected will not be transmitted to the intended recipient.

Users’ email messages will be limited to forty kilobytes in size. Exceptions will be granted to users who have requirements that exceed these limitations, and managers will be allowed to review exemptions individually.

Ten Fundamental Rules to Sending Email

  1. Use the same amount of respect in an email that you would use in person.
  2. Always check your spelling and grammar, use a recommended application.
  3. Never forward a message that urges you to pass them on to other recipients.
  4. Direct all emails to a specific person or department: no spam or excessive cc.
  5. The support of unethical behavior is prohibited.
  6. Harassing or hateful messages to other users are not permitted.
  7. Do not send private or confidential information that is unencrypted over email.
  8. Keep conversations over email on work about work.
  9. Only authorized personnel is responsible for company-wide announcements.
  10.  You must uphold these standards and assist in administration.
